CSP ePortfolio & Learning Hub Privacy Statement

We are committed to protecting your privacy in accordance with General Data Protection Regulation (GDPR). This privacy statement explains what information we collect about users of this site and how we will use it.

This site contains links to other sites. Please be aware that we are not responsible for the privacy practices of other sites. We encourage you to be aware when you leave this site and to read the privacy policies on other sites. Operators of other sites may collect information from you which may be used in a manner inconsistent with this privacy policy.

 

Settings

When you registered to use the site and all its sub sites you will have agreed to the CSP knowing your name, e-mail address and certain other personal details. If you are a CSP member you are asked periodically, to check and update your member record via the site. This includes your contact and employment details and your professional profile.

By using this site you are agreeing to be searchable within the site. Your name (first and last) and your registered email from your site profile are used as part of your public profile. Your name (first and last) and email address form part of a searchable database that allows other users to add you as a friend. You may choose to use a display name but remember your name will remain viewable by other users. By default, your email is not displayed to other users and you can choose to hide/show your email address. The CSP administrators, eBite managers, course creators and teachers will be able to view your email address, in order to manage the site and to contact you directly should you request support or assistance.

You may also choose to keep any posts between you and friends/groups private, or leave them public.

You can change all of the above settings yourself, as often as you want to , to allow you to decide whether other may send you friend requests. You determine whether you accept other users as friends or not. Similarly you can change your settings to prevent other users from messaging you. Again how you manage this is at your discretion.

Others may only see content that you upload if you choose to share it with them. Again, you can choose whom with, for how long you like to share your information. Data that you share as part of CV builder (Resume), your profile, pages or collections on this site become available to others should you choose to share it. You may also choose to share your content with those outside the site should you so wish. Again, the decision to do so is at your discretion.

CSP administrators of this site will not without your permission access your account. Should you request support, and give permission you will receive notification (a message within your inbox) that an administrator has accessed your account. You will receive such a notification each time this occurs.

 

How we may use information from this site

We use the information that we collect to:

  • personalise your use of the site – including enabling access to restricted content as appropriate.
  • contact you and provide CSP services and support – both via the site itself and other channels within CSP.
  • maintain a detailed profile of the profession at large – including clinical and professional interests, an employment profile a geographical breakdown.
  • support the creation of your site profile – this displays to other CSP members on the site, and includes your name (first and last) and email address. While you cannot opt out of the searchable database, you can restrict whether others can message you, or add you to their friends list. Please adjust your privacy settings accordingly.
  • keep the site secure – we use some of your personal details to validate who you are so that we can keep the site, including your personal details, secure.
  • provide interactive learning opportunities - some of these services are activated by default while for others you may be invited to receive future communications. How you receive and manage communications is configurable and at your discretion. You can choose how you would like to be communicated with.
  • reset your password if you forget what it is.

 

Please be aware that we may need to disclose content provided by users to the police or other enforcement or regulatory agencies in order to assist with their investigations and that we will be required to disclose your details to third parties where we are required to do so by court order or by law.

We will not use your details for any other purpose.

We take reasonable precautions to ensure that any personal information which you provide is used only for the purposes set out in this policy. However, the internet is not a completely secure network and we cannot guarantee that such information will not be intercepted by other parties.

You are responsible for managing your personal information on the CSP site, and this site and are encouraged to keep it up-to-date.

 

Data portability

You may transfer personal data from one electronic processing system to and into another by using the export function and downloading your files.

 

Deletion of personal data

Access to the CSP’s ePortfolio and Learning Hub are member-only benefits. If you cease to be a CSP member, you will no longer be able to access these resources.

If you wish to delete your ePortfolio and Learning Hub accounts whilst maintaining your CSP membership, a request must be sent to the learning&development@csp.org.uk. We will respond to your request within one month. Once your account has been processed, should you access the ePortfolio and learning hub again a new account will automatically be created.

 

Lapsed membership

It is your responsibility to ensure you export your content before lapsing your CSP membership.

If your membership lapses we will suspend your account and you will not have access to export your data. We will permanently delete your ePortfolio & Learning Hub accounts 24 months after lapsing if you do not continue your membership.

We will retain your information for this amount of time in recognition of the fact that members may be take sabbaticals or maternity leave and may need their content for HCPC audit.

CSP can export your content in extenuating circumstances. If this applies to you please contact learning&development@csp.org.uk within 23 months of lapsing to discuss. If agreed we will action your request within one month of receipt.

Cancelled or withdrawn membership

It is your responsibility to ensure you export your content before cancelling your CSP membership.

If you are planning to cancel, you must export the content of your ePortfolio or your record of achievements from the Learning Hub before your membership is cancelled, as your data contained within these accounts will be deleted. If you would like some support to export from CSP ePortfolio and/or Learning Hub, please contact learning&development@csp.org.uk.

We will permanently delete your ePortfolio & Learning Hub accounts within 24 months after cancelling.

Within this time-period, CSP can export your content in extenuating circumstances. If this applies to you please contact learning&development@csp.org.uk within 23 months of cancelling to discuss. If agreed, we will action your request within one month of receipt.

 

Cookies

Our site uses "cookies" (small pieces of information stored on your computer's hard drive by your browser) which enable us to personalise your use of the site (for example by automatically filling in your password). Most browsers allow users to turn off the cookie function - this will not prevent you from using most features of our site.

The cookie contains simple information about your identity but no personal information.

Monitoring pages visited

We monitor visits to our site to administer the site and to track and analyse general trends in user movements. We use this aggregate information to help us to develop the site and our services. We do not however access your personal storage space or any other information you choose to keep private (including CVs, profile etc.) unless given permission to do so by you.

Our records in this regard do not contain any personal information about users.

 

Notification of changes

If we change our privacy policy, we will post those changes on this page so that our users are always aware of what information we collect and how we use it.

 

Updating your details

You are responsible for managing your personal information on the CSP site, and this site and are encouraged to keep it up-to-date.

Details from the CSP site are not automatically transferred to this site - Only your name and email address when your account is created. Should you include personal details in this site (for example when using the CV function), you will also need to maintain this site too.

 

Special categories of information

The CV function includes date of birth, gender, citizenship and marital status fields. As a piece of advice, do not fill these in. Once you enter your date of birth, you will not be able to remove. You choose what you would like to share and the information you disclose and make available to others.

Freedom of Information

You have a right of access to personal data that is held about you. To obtain a copy of such information, please contact us. We will respond to your request within one month. Please send an email request including your name, email address and membership number to learning&development@csp.org.uk. We will respond to your request within one month.

Alternatively, you may post your request to the CSP Learning & Development team, The Chartered Society of Physiotherapy, 14 Bedford Row, London, WC1R 4ED.

 

We are not currently legally required to comply with the Freedom of Information Act and guidance and codes of practice issued under it ("FOIA legislation"). This means that we are not required to consider requests for information which we might or might not hold, whether such requests relate to content posted on the site or not. However, users need to be aware that if their content is downloaded or stored locally by other users who are subject to the FOIA legislation, their content may be considered for disclosure.
